Best Practices

Before you end your day, review tomorrow’s tasks. Adjust as needed so you start fresh in the morning.
Do your most important (often most difficult) task first thing. Don’t let it loom over your whole day.
3-5 important tasks per day is realistic. A list of 20 items just creates overwhelm.
Schedule specific times for task completion. “Make calls at 9am” is more likely to happen than “make calls sometime today.”
At the end of each week, review what you accomplished. Celebrate wins and learn from incomplete items.

Productivity Tips

Time Blocking

Assign tasks to specific times:
  1. Open a task
  2. Set a specific time (not just date)
  3. The task appears on your calendar view

Batching

Group similar tasks together:
  • All calls during call block (9-10am)
  • All emails during email block (2-3pm)
  • All content creation during creative block (4-5pm)

The 2-Minute Rule

If a task takes less than 2 minutes:
  • Do it immediately
  • Don’t add it to your list
This prevents small tasks from cluttering your system.

Troubleshooting

Reset by:
  • Deleting tasks that are no longer relevant
  • Rescheduling realistic items
  • Being more conservative with new tasks
Check that:
  • Task is assigned to today (or overdue)
  • Filters aren’t hiding the task
  • Task wasn’t accidentally completed
If recurring tasks aren’t appearing:
  • Verify the repeat settings
  • Check the end date hasn’t passed
  • Try recreating the recurring pattern
