The Transactions feature helps you manage active deals, track milestones, and ensure nothing falls through the cracks on the way to closing.

Creating a Transaction

When you have a deal under contract:

Open Transactions

Navigate to CRM > Transactions

Click New Transaction

Click the + New Transaction button

Enter Deal Details

Fill in the transaction information:
  • Property address
  • Transaction type (purchase or sale)
  • Contract price
  • Client (link to existing contact)
  • Closing date

Add Other Parties

Add the other agent, lender, title company, etc.

Save

Click Create Transaction

Transaction Dashboard

Your transaction dashboard shows:
  • Active Transactions - Deals currently in progress
  • Upcoming Closings - Deals closing soon
  • Recent Closings - Successfully completed deals
  • Total Pipeline Value - Sum of all active deals

Transaction Details

Each transaction includes:

Property Information

  • Address
  • Property type
  • List price
  • Contract price
  • MLS number

Timeline

Key dates for the transaction:

  • Your client (buyer or seller)
  • Cooperating agent
  • Lender
  • Title company
  • Home inspector
  • Appraiser

Store and organize transaction documents:
  • Purchase agreement
  • Disclosures
  • Inspection reports
  • Appraisal
  • Loan documents
  • Closing documents
Upload documents to the transaction record to keep everything in one place. No more searching through emails.

Transaction Stages

Move transactions through stages as they progress:

To change the stage:
  1. Open the transaction
  2. Click the current stage
  3. Select the new stage
  4. Optionally add a note about the change

Tasks and Checklists

Each transaction has associated tasks to keep you on track:

Default Checklists

PULSEIntel PRO includes pre-built checklists for common transaction types:
  • Buyer transaction checklist
  • Seller transaction checklist
  • Dual agency checklist

Custom Tasks

Add your own tasks:
  1. Open the transaction
  2. Go to the Tasks tab
  3. Click Add Task
  4. Enter task details and due date
  5. Assign to yourself or a team member

Task Reminders

Get notified about upcoming and overdue tasks:
  • Upcoming - Reminder 1 day before due date
  • Due Today - Morning reminder
  • Overdue - Daily reminders until completed

Commission Tracking

Track your earnings for each transaction:
  1. Open the transaction
  2. Go to the Commission section
  3. Enter:
    • Commission rate or amount
    • Split with brokerage
    • Any referral fees
    • Estimated net commission

Transaction Notes

Keep a record of important communications and decisions:
  • Click Add Note on any transaction
  • Include dates and context
  • Notes are visible to anyone with access to the transaction
After every significant phone call or meeting, add a note summarizing what was discussed and any action items.

Closing a Transaction

When the deal closes:

Update Stage

Change the transaction stage to Closed

Enter Final Details

Confirm the final closing date and sale price

Record Commission

Enter the actual commission received

Update Contact

The client’s status automatically updates to Past Client

Cancelled Transactions

If a deal falls through:
  1. Change the stage to Cancelled
  2. Select a cancellation reason
  3. Add notes about what happened
Cancelled transactions are kept for your records but moved out of active views.

Reports

Generate reports on your transaction activity:
  • Pipeline Report - All active deals and their status
  • Closed Report - Completed transactions for a date range
  • Commission Report - Earnings summary
Go to CRM > Transactions > Reports to create reports.

Best Practices

As soon as a contract is signed, create the transaction record. This ensures you start tracking from day one.
Keep transaction details current. Update stages, dates, and notes as things change.
Follow the transaction checklist to ensure you don’t miss critical steps.
Upload important documents and add notes. This protects you and creates a complete record.
