Deactivating an Agent Who Leaves

What this job is

When an agent leaves your brokerage, deactivate their account the same day. Deactivating turns off their sign in. It does not delete them. Their training history, scores, and certificates stay on record, and their past work still counts in your reports for the time they were with you. Never share or reuse a departed agent’s login for someone else. Every person needs their own account.

Deactivate one agent

  1. Open your user list from Management Tools.
  2. Find the agent. Search by name or email if your list is long.
  3. Open the agent’s account.
  4. Choose the deactivate option.
  5. Confirm. The system is asking because this cuts off the agent’s access right away.
  6. Check your user list again. The agent should now show as inactive.

Deactivate a group at once

Sometimes several agents leave together, or you are cleaning up after a bulk import. Use the bulk route.
  1. Open the bulk user tool.
  2. Pick the deactivate option.
  3. Select each agent who is leaving, or upload the list if the tool asks for one.
  4. Confirm the group.
  5. Spot check two or three names in your user list to confirm they show as inactive.
Take your time on the select step. Read each name out loud if you have to. Deactivating the wrong person cuts off an active agent’s training until you fix it.

What happens after

  • The agent cannot sign in.
  • Their past training records stay in your reports, marked as theirs.
  • Their open assignments stop mattering. You do not need to clean them up one by one.
  • If the agent comes back to your brokerage later, their account can be turned back on and their history is still there. Ask in your user list first; if you cannot reactivate the account yourself, ask BPS support.

What success looks like

The departed agent cannot sign in, nobody active lost access by mistake, and your user list matches your real roster.

Common problems

You deactivated the wrong agent. Do not wait. Try to reactivate the account from your user list right away so the agent can work. If the option is not there for you, ask BPS support the same day and tell the agent what happened. The agent can still sign in. The change may not have saved, or the agent has a second account. Search your user list by email to find duplicates, and deactivate every account under that person’s name. You want the record fully deleted. Deactivation is the Manager level tool, and it is the right one for almost every case. Full deletion runs above your level. If you truly need a record removed, ask BPS support and explain why.
