# Finding Resources in the File Vault

## What the File Vault is

The File Vault is the shared file cabinet inside BPS. It is where your brokerage keeps the documents agents use every week: scripts, flyers, checklists, forms, and guides.

Files in the vault are shared with you. You can view them and download your own copies. You do not upload or change shared files here. If a file needs a fix, tell your Manager.

## How to find a file

1. Sign in to BPS.
2. Open the File Vault from the Main Menu.
3. Browse the folders. Files are grouped by topic, so start with the folder that matches what you need.
4. Click a file name to open or preview it.

Go one folder at a time. Most lost files are one folder over from where an agent first looks.

## How to download a copy

1. Open the file.
2. Use the download option on the file view.
3. Save it in a place you can find again, like a work folder on your computer or your phone files.

Keep your own copy of the files you use every week, like your main scripts and checklists. That way you are not hunting the vault in front of a client.

## Which copy is the right one

Brokerages update forms and scripts. The copy in the vault is the current one. If the copy on your computer and the copy in the vault do not match, trust the vault copy and replace yours.

Check the vault copy again before you use a form you have not touched in a while.

## What success looks like

You can open the File Vault, find the script, form, or guide you need, and download a clean copy without asking anyone.

## Problems you may hit

### You cannot find a file your Manager mentioned

1. Check the folders again with the exact name your Manager used.
2. Look in the folder for the topic, not only the folder you expected.
3. Ask your Manager which folder holds it and whether it is shared with your group. Some files are shared with one team or role and not with everyone.

### A file will not open

1. Download the file instead of using the preview.
2. Open it with a standard app for that file type. A PDF reader covers most BPS documents.
3. If the downloaded file still fails, tell your Manager the file name and what happened. The shared copy itself may need to be replaced.
